Tracking Lead Sources with UTM Parameters
UTM parameters allow you to identify where prospective students came from before they registered with your Prospectus Plus site.
By adding a UTM parameter to a link, you can track specific campaigns, printed materials, events or referral sources and have that information passed through to your CRM alongside the student's registration data.
How does it work?
When a visitor lands on the homepage of your Prospectus Plus site using a URL that contains a UTM parameter, Prospectus Plus stores that information throughout their journey.
If the visitor later completes a registration form, the UTM value can be automatically added to a hidden custom registration field and passed through to your CRM or other downstream systems. For example:
https://yourprospectus.ac.uk/?utm_source=miniguide
In this example, the value miniguide would be stored against the user's session and submitted alongside their registration details.
What can I track?
You can create your own UTM parameters depending on what you want to measure.
Common examples include:
- QR codes on printed mini guides distributed at events
- Open Day marketing materials
- Email campaigns
- Social media promotions
- Digital advertising campaigns
The only requirement is that the parameter name begins with utm_
Example: Tracking a Mini Guide
Imagine you're attending an exhibition and handing out printed mini guides. You could include a QR code that points to:
https://yourprospectus.ac.uk/?utm_source=miniguide
Anyone who scans that QR code and later registers through Prospectus Plus would have the source recorded as miniguide. This allows you to report on how many enquiries or applicants originated from that specific piece of printed marketing.
How do I get this set up?
To enable UTM tracking, you'll need to tell us:
- Which UTM parameters you want to capture.
- The names of the corresponding custom registration fields you would like us to create.
We'll then configure the hidden custom registration fields within Prospectus Plus and ensure the values are captured automatically when a user registers. Once configured, your team simply needs to use the appropriate UTM-enabled links in your campaigns and marketing materials.
If you use a CRM
Once your UTM parameters have been configured in Prospectus Plus, we recommend carrying out a test registration to confirm everything is working as expected.
If you use a CRM integration, you may need to update field mappings or automation rules within your CRM to ensure the UTM values are captured correctly.
