What data can Prospectus Plus send to my CRM?

When integrating Prospectus Plus with your CRM, you may want to capture more detail than just names and email addresses. Prospectus Plus can pass a variety of fields through a webhook, but there are some limitations to be aware of.


If you haven’t already, you may find it useful to read our guide on the Zapier Integration first. This explains how the connection is configured and what we need from you to get started.


✅ What data can be passed through?


Prospectus Plus is designed to send data that a user has actively submitted or selected. This includes:


  • Registration form fields – The registration form is customisable, and any fields you add here (e.g. name, email, level of study, year of entry) can be passed through.
  • Personalisation questions – If a question is linked to metadata (e.g. “Subject area” → Business, Law, Medicine), the selected answers can be sent.
  • Course titles – When a user reaches the final step and selects courses of interest, these course titles can also be passed. If multiple courses are selected, they can be sent as a comma-separated list.


While you can’t self-configure these fields, just let us know what you’d like included and how you’d like them structured — we’ll set it up for you.



🚫 What data is not passed through?


Other course metadata is not automatically included in the webhook. At present, Prospectus Plus only sends data that a user has explicitly submitted or clicked, rather than all metadata attached to a course.


Information: We know some clients would find it useful to automatically pass course metadata (such as codes or attributes) into their CRM. If this is of interest, please check our roadmap and upvote any related features — this helps us prioritise development.



🎯 Structuring your CRM fields



It’s important to consider how your Prospectus Plus setup aligns with the fields you want to capture in your CRM. The integration can only pass data that users have actively provided or chosen.


For example:


  • If you’d like to capture Level of Study, make sure this appears either as a registration form field or as a personalisation question.
  • If you’d like to capture Year of Entry, this should also be included as a field in your Prospectus setup, since the integration cannot infer it from course metadata alone.


Think about your CRM needs first, then check whether your Prospectus setup is structured to capture the right information. If a piece of data isn’t being asked from the user, it won’t be available to your integration.
