How and why does Prospectus Plus store user data?

Prospectus Plus is a product that our clients can utilise to capture and user data. Our stance on data privacy is built into your contract with us. This is the best place to review the specifics around our data usage agreement with your institution.

While taking the above into consideration, all our contracts do share the same core details. We hope that this FAQ can help outline the key information at a glance.

ℹ️ How does Prospectus Plus capture user data?



Depending on your specific configuration, users can either choose to create an account in order to save their personalised prospectus (core behaviour) or are required to create an account in order to view their personalised prospectus (via the Walled Garden Mode add-on).

In the core product, the only field a user is required to submit in order to create an account is their email address. However, you are able to specify any number of custom registration fields in addition to this. All will be stored against a user's account.

A user's answers to the personalisation questions are also captured and stored against their account.


📈 Why does Prospectus Plus capture user data?



Data is collected mainly for your use, in accordance to your own institution's privacy policy of course. In summary:

Some anonymised data is visible in the CMS for purposes of visualisation - the analytics dashboard is a perfect example of this.
Personalised data is visible against the user in the Site User Manager section of the site.
Data is collected in order that it can be integrated with our client's external systems (commonly CRMs) by way of our Zapier add-on.

We might use anonymised data ourselves to recognise trends and to help improve the service. But we won't use data to reach out to individuals for example.


💿 Where does Prospectus Plus store data?



User data is stored in servers in London.


🧱 Does Walled Garden Mode introduce any additional concerns?



Activating Walled Garden Mode does not change the way in which data is stored or used by Prospectus Plus when compared to the core product. Our policy remains exactly the same.


🏫 What is my institution's responsibility when it comes to storing and using the data captured by Prospectus Plus?



It's crucial that you provide a privacy policy to inform users how their data will be handled by the institution as detailed in point 4 of our standard terms: https://prospectus.plus/terms-of-service/

For example, you should not store email addresses or contact any user whose information was collected by Prospectus Plus, unless your privacy policy explicitly outlines this as a term of use.
